Changes for Postdoctoral Scholar early separation and exception requests
February 23, 2016
Dear Colleagues,
We are announcing procedural changes for Postdoctoral Scholar early separation and exception requests.
Early separations will no longer be part of the Exception Request Form. Instead, the new Early Separation Form is required for all Postdoctoral Scholar early separation requests.
The Early Separation Formis used when a Postdoctoral Scholar leaves the University prior to their approved appointment end date. If the appointment is ending due to a pending reclassification to another title, an Out of Unit Form must be completed instead.
The Exception Request Form is used for reductions in time and sixth-year appointment requests.
As a friendly reminder, please submit the exception request form to Academic Services at least thirty days in advance of the requested start date.
We hope these new and updated forms clarify the early separation and exception request processes.
If you have any questions, please contact postdoc@grad.ucla.edu.
Please visit https://grad.ucla.edu/funding/working-at-ucla/postdocs/appointment-guidelines-forms/ for further instructions.
Sincerely,
Academic Services
UCLA Graduate Division

Postdoc Healthcare Premium Contributions
In accordance with the provisions of Article 3, Benefits, of the Agreement between the University of California and the UAW, effective January 1, 2012, postdoctoral scholars began contributing a portion of the medical premium for the HMO. For the postdoctoral scholar only and the postdoctoral scholar plus child(ren), the contribution is 2% of the premium; for the postdoctoral scholar and partner, and the postdoctoral scholar family benefits, the contribution is 3%.
Plan Year 2018
Coverage Type | HMO | PPO | LTD |
Postdoc | $10.78 | $20 | $8.55 |
Postdoc + Partner | $38.81 | $40 | $8.55 |
Postdoc + Child(ren) | $18.86 | $40 | $8.55 |
Postdoc + Partner + Child(ren) | $49.32 | $60 | $8.55 |
The Collection/Payment Process
Postdocs who are paid through the campus payroll system will have their deductions for the contributions taken from their paychecks. Garnett-Powers & Associates, Inc. (GPA) will be collecting contributions for those postdocs without sufficient payroll to pay for the contributions. GPA will not only be collecting the HMO contributions, but also the PPO and Voluntary Long-Term Disability contribution amounts.
GPA will initially mail an invoice to the postdoc’s home, displaying the amounts owed for each line of coverage. All consequent billings will be done via e-mail. The initial invoice will contain a web address where the postdoc must register to supply his/her e-mail address, as well as indicate the preferred method of payment: Credit card, debit card or check. Instructions will be available to assist the postdoc in indicating the payment method and making the payment online. The payment will be due by the first of the month as payment for that month’s coverage.
Important Information for Postdoctoral Scholar-Fellows (Title code 3253): Opt-Out Form for Health Premium Deductions
Based on NIH guidelines, Postdoctoral Scholar-Fellows must authorize the deduction of the monthly health premiums from their stipend. All postdoc fellows (title code 3253) should use the Opt-Out Form, during both initial and open enrollment. If the forms are not returned, the fellows will have the deduction taken out of their stipend.

Pay Cycle Change for NEWLY APPOINTED Postdoc-Fellows (3253), Effective March 1, 2018
Effective March 1, 2018, stipends for all newly appointed Postdoctoral Scholar-Fellows (3253s) will be disbursed in arrears. This disbursement schedule is currently in use at all other UC campuses for this title code, and will prepare our campus to synchronize with the future UCPath disbursement schedule.
Currently, stipend disbursements are released approximately two weeks prior to the work month (e.g., February 2018 stipend was disbursed on January 18, 2018). The new disbursement schedule will release stipend disbursements approximately one to two weeks prior to the following work month (e.g., March 2018 stipend will be disbursed between mid-to-late March 2018 and April 1, 2018).
This change will affect only 1) new Postdoctoral Scholar-Fellow (3253) hires to the University and 2) current Postdoctoral Scholars appointed in another Postdoctoral Scholar title codes (3252, 3254, 3255, and 3256) and then reappointed or revised to include the Postdoctoral Scholar-Fellow title code (3253) on or after March 1, 2018.
If you have any questions about the above revision in procedures, please contact Lori Tagawa at ltagawa@grad.ucla.edu.
